NUMBER OF CAMP PARTICIPANTS
Calculating the number of participants per week in different camps is super easy - if you know how. :)

First, check the STAFF sheet and find your camp. Calculate the number of teachers for the week in question, and right below you'll also find the number of kids for that week, too.

Second, check the VOLUNTEERS sheet and find your camp. Calculate the number of volunteer for the week in question.

Add the number of teachers, kids, volunteers + you + camp leader + camp manager + anybody else (for this, just double check the final number with the camp leader/camp manager) and you're done!

TRANSGOURMET / PRODEGA INSTRUCTIONS
2-4 weeks before the start of the camps you're inclined to have a training meeting with our colleagues Stefan Stolwijk and/or Nebojsa Mitrovic; they will instruct you on how to use the Transgourmet website and they will share the credentials with you.

Also, they will walk you through the timeline and please pay attention to the details there (write those down if necessary), i.e. when to order food BEFORE the camp starts (for the first week), when to order food during the camps, etc.

MANAGING THE VOLUNTEERS
Our kitchen assistance and housekeeping volunteers play a pivotal role in making sure that our camps run as smoothly as possible and as such, they should be treated with dignity and in a friendly tone, at all times!

Keep in mind that they are volunteers after all, and for many of them, it is going to be their first time in friLingue! Here are some additional tips:
  1. Give the volunteer thorough training - let the first day the volunteer is on the property be for giving all the info they need about the activities and tasks they will be doing. This helps your planning and helps the volunteer to contribute more efficiently to our camps. On Sunday evenings at 22:15h, once the students are in bed - it is imperative to organise a big staff meeting, together with the camp leader, teachers, co-leaders, volunteers etc. and create the weekly schedule for the next 7 days. Once you create the weekly schedule for volunteers (kitchen duties and housekeeping duties), feel free to print it out and put it on the fridge door or any other visible place.
  2. Be on the same page about activities and tasks - Tell the volunteer in detail what the expected workload is for each task. For example. If you assign a specific volunteer to help with cleaning and reception, tell how many hours each day this volunteer will help you in reception and how many with cleaning.
  3. Create volunteer manuals or checklists - Explain to the volunteer in plain terms what you need. A manual or checklist can help you (as well as the volunteer) to remember the most important things and not leave any task out by accident.
  4. Encourage interactions between volunteers and staff - When volunteers and the staff/community are integrated together, the exchange is much richer.
  5. Be open to differences - With the differences in customs and cultures, you and your staff should be open to the experience and treat the volunteers in a friendly and respectful way.
  6. Respond to conflicts in a friendly way - In case of possible problems during the exchange, keep a friendly and non-aggressive stance: this is the key to solving any problem!
  7. Listen to your volunteers - Listen to the feedback of the volunteers in a friendly and open way, quickly solving problems: remember that the volunteer is also partially a guest and can alert you to problems before a formal guest or a future volunteer does.
